Job Title: Executive Administrator – Chief Technology Officer
Type: Contract-to-Hire
Location: Charlotte, NC
Schedule: 5 days onsite
Summary
Our client is seeking an experienced Executive Administrator to provide high-level administrative and operational support to the Chief Technology Officer (CTO) and their direct reports at the company’s Charlotte headquarters.
This is a full-time, on-site role (Monday–Friday, 8:30 a.m.–5:30 p.m. ET) focused on calendar management, meeting coordination, executive communications, reporting, presentation development, and general administrative oversight. The Executive Administrator will serve as a trusted partner to the CTO, ensuring day-to-day activities are well-organized, priorities are managed effectively, and leadership is fully supported.
Responsibilities
Executive & Administrative Support
- Provide comprehensive administrative support to the Chief Technology Officer and select members of the Technology leadership team
- Act as a key liaison between the CTO, direct reports, and internal stakeholders
- Handle confidential information with discretion and professionalism
Calendar, Meetings & Coordination
- Manage complex calendars, scheduling meetings across multiple time zones
- Coordinate leadership meetings, team meetings, and ad hoc sessions
- Prepare meeting agendas, pre-reads, briefing materials, and follow-up notes
- Track action items and ensure timely follow-through on deliverables
Microsoft Office & Document Management
- Create, edit, and format professional documents, reports, and correspondence using Microsoft Word
- Develop executive-level presentations and leadership decks in PowerPoint
- Build and maintain reports, trackers, and summaries in Excel
- Manage document organization, version control, and filing systems
Technology Enablement & Process Improvement
- Leverage technology to streamline administrative and executive support processes
- Identify opportunities to improve efficiency through automation, workflow optimization, and AI?assisted tools
- Partner with the Technology organization to adopt and enhance collaboration platforms, reporting tools, and executive productivity solutions
- Support the CTO’s vision by continuously improving how administrative work is performed using modern, scalable technology
Reporting & Presentations
- Compile operational, staffing, and departmental reports for leadership review
- Assist with preparation of executive presentations for leadership meetings, board reviews, and internal communications
- Synthesize information from multiple sources into clear, concise summaries
Department & Leadership Support
- Support administrative needs across the Technology organization
- Coordinate onboarding logistics for new team members
- Assist with department-wide communications, meeting logistics, and event planning
- Help streamline administrative processes and improve efficiency across the executive office
Qualifications
Required
- Proven experience as an Executive Administrator, Executive Assistant, or Senior Administrative Professional
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Demonstrated experience managing executive calendars and coordinating meetings
- Excellent written and verbal communication skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Professional demeanor with the ability to interact confidently with senior leadership
Preferred
- Experience supporting a CTO, CIO, or technology leadership team
- Background in a corporate, IT, or technology-driven environment
- Experience preparing leadership-level reports and presentations
- Familiarity with standard administrative tools and collaboration platforms (Teams, SharePoint, etc.)
- Comfort using and adopting new technologies, including automation tools, AI?enabled productivity solutions, and modern collaboration platforms
- Interest in continuous improvement and applying technology to solve administrative and operational challenges
