Job Summary:
We are seeking an organized, detail-oriented Administrative & Finance Assistant to support my clients IT and Project team. This role is a blend of administrative support and financial operations—ideal for someone with strong experience in invoice processing, forecasting, financial reporting, and data entry who also thrives in a dynamic team environment.
Key Responsibilities:
- Provide advanced, diversified, and confidential administrative support to leadership (VP, AVP, Director) and the broader IT team.
- Maintain and update financial documentation, including invoice tracking, accruals, and budget spreadsheets.
- Support the team with forecasting and expense reporting, preparing regular summaries and insights for leadership.
- Enter, validate, and maintain financial and operational data with a high degree of accuracy.
- Liaise with vendors; support onboarding, billing, and payment processes.
- Maintain organized systems for filing documents and records (physical and digital).
Qualifications:
- 1–3 years of experience in an administrative or financial support role in a fast-paced environment.
- Strong proficiency in Microsoft Excel (pivot tables, formulas), with working knowledge of Word, PowerPoint, Outlook, and Teams.
- Prior experience with Accounts Payable, including processing, verifying, coding, and reconciling invoices.
- Experience with budget tracking, financial forecasting, and reporting preferred.
- Strong attention to detail, especially in data entry and spreadsheet management.
- Must be able to handle confidential information with discretion and professionalism.

- Be process-oriented with an eye for continuous improvement in administrative and financial workflows.
- Communicate clearly and professionally via phone and email.
- Adapt quickly to changing priorities and demonstrate flexibility in supporting others.
- Be willing to work occasional overtime as needed.
