Business Title: Infrastructure Project Coordinator

Position Summary:
The Project Coordinator – Field Services position is the central point of contact for all facility-related services necessary to keep our retail stores in safe and image-commensurate condition for both our customers and employees. This person is responsible for the day-to-day coordination with vendors and our clients’ personnel to support store remodeling, regional store construction projects, installation of infrastructure technology, store divestitures, acquisitions and periodic off-site sales.
Organizational Relationships:
Provide daily support to stores (Dealership General Managers, Controllers, Service/Parts Managers and Regional Staff) under the direction of the Technology M&A – Special Projects Director.
Regularly interact with Corporate Real Estate Services Management (CRES), Regional Management, In-House Maintenance staff, Human Resources, Legal, Accounting, Technology, and outside vendors such as Construction Contractors, Low Voltage installers and 3rd party laborers.
Although this resource will report to the Technology M&A – Special Projects Director, they will be supervised locally by the PMO Infrastructure and Operations Portfolio Manager.
Job Responsibilities:
- Create and process Purchase Orders for data cabling, equipment purchases, installation services for work necessary to complete a project. In addition, reconcile billing and process vendor invoices for correct and timely payments using COUPA.
- Track equipment delivery and installation and resolve any related issues.
- Coordinate vendor resource assignments for installation scheduling of low voltage cabling and infrastructure equipment.
- Update existing Playbooks and create other necessary documentation.
- Identify and document installation risks, issues, and roadblocks and escalate as needed.
- Update project tasks in project management tool.
- Create Purchase Orders for periodic Off-Site Sales, reconcile final invoices.
- For divestitures, coordinate PC count details from Client Architecture and provide to Vendor Tech resource; collect Credit Card Payment and Check processing devices inventory being returned; collect any other store equipment based on established playbook.
- Dispatch vendors and in-house Maintenance Technicians for work order requests and track completion.
- Communicate with stores, vendors, maintenance technicians, region management, and other corporate departments to address and resolve any issues.
- Coordinate with Infrastructure areas such as network operations, systems engineering, and client architecture to ensure alignment with projects being executed.

Qualifications:
- Must meet company’s requirements for employment
- High School diploma or equivalent – College Degree a plus
- Two plus years of related work experience preferred
- Experience in providing quality customer service
- Microsoft Office Suite experience (Excel, Outlook, PowerPoint)
- Work order management software experience preferred
- Field Services Experience preferred
- Demonstrated written and verbal communication skills
- Ability to prioritize workload with a good sense of urgency
- Strong organization and follow-up skills
- Strong attention to detail
Physical Requirements:
• Prolonged periods sitting and performing computer work and on the phone
• Visits to local stores might be required depending on the project’s needs
