Role:
The Project Coordinator – Travel is responsible for planning and managing domestic and international travel arrangements for employees, executives, and vendors supporting a large-scale development initiative.

This role ensures travel is cost-effective, compliant with company policies, and executed seamlessly from booking through post-travel reconciliation. The ideal candidate is highly organized, detail-oriented, bilingual (English/Spanish), and thrives in a fast-paced, high-visibility environment.

Responsibilities:

  • Coordinate domestic and international travel, including flights, hotels, and ground transportation.
  • Serve as the primary point of contact for travelers regarding itineraries, schedule changes, and travel-related issues.
  • Ensure all travel arrangements comply with company policies, approval processes, and budget guidelines.
  • Manage travel documentation including itineraries, confirmations, passports, and visas.
  • Handle travel disruptions, cancellations, and urgent changes efficiently and professionally.
  • Maintain accurate travel records, reporting, and expense documentation (including vendor expenses when applicable).
  • Collaborate closely with internal teams, executive assistants, vendors, and travel agencies.
  • Support group travel logistics, meetings, and special events as required.
  • Stay current on travel regulations, safety advisories, and company travel policies.

Required Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 2+ years of experience in travel coordination, administrative support, or related role.
  • Experience with travel management systems, booking platforms, and expense tracking tools.
  • Bilingual (English/Spanish) required.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple travelers and shifting priorities simultaneously.
  • Strong problem-solving mindset, especially during travel disruptions.
  • Proficiency in Microsoft Outlook, Excel, and standard productivity tools.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Experience:

  • Experience supporting executive-level travel.
  • Experience coordinating large group travel or project-based travel needs.
  • Familiarity with vendor management and cost tracking processes.
