Job Title: Executive Support Specialist
Type: Direct Hire
Location: Fort Lauderdale, FL
Schedule: 5 days onsite
Summary
Our client is looking for an Executive Support Specialist to support the Vice President, Corporate Strategy at their Fort Lauderdale headquarters. This full-time, on-site role (Monday–Friday, 8:30a–5:30p ET) involves managing sales pursuits, customer interactions, operational processes, and internal coordination. The specialist will act as an extension of the VP, ensuring activities are organized, documented, and executed efficiently.
Responsibilities
- Assist the VP with sales pursuits, preparing materials, coordinating internal resources, and tracking progress
- Manage schedules, customer meetings, follow-ups, and ensure the VP is prepared with agendas, briefs, and documentation
- Create status reports and customer-facing materials
- Build Excel reports; maintain deal pipelines, forecast reports, and internal dashboards
- Draft professional communications, including emails, proposals, meeting notes, and internal updates
- Collaborate with delivery, marketing, finance, and technical teams to gather information for proposals and sales materials
- Maintain knowledge of the company’s IT services portfolio to support sales conversations
Qualifications
- Bachelor’s degree in business administration, Communications, Marketing, or a related field
- Strong experience in executive support, sales operations, or a similar role
- Experience in IT services, SaaS, or technology-driven environments
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word), including pivot tables and dashboards
- Exceptional written and verbal communication skills
- Strong organizational skills, attention to detail, and ability to manage multiple priorities
- Ability to act as an extension of senior leadership with professionalism and discretion
- Comfortable collaborating with cross-functional teams
Preferred Qualifications
- Experience supporting sales teams or executives in fast-paced environments
- Background in preparing proposals, RFP responses, or sales enablement materials
- Understanding of sales pipeline management and forecasting
- Ability to synthesize complex information into concise summaries and presentations
- Experience with CRM platforms (Salesforce, HubSpot, or similar)
